How to manage email accounts.

Instead of searching through your inbox every time you need to find a conversation, Nexudus helps you keep all the emails you sent and received neatly organised in member and contact profiles. This makes it much easier to keep in contact with your community.‌

You can configure one or several email accounts and when an email is sent to one or several of these accounts by space members, Nexudus will detect it and place it in the correct member file.‌

If you want to monitor an account, you must provide the settings for incoming (used to receive emails) and outgoing (used to send emails) servers. You can currently only monitor accounts that have the IMAP protocol available, although most email providers support this protocol, such as Gmail or Outlook.‌

Once you've set up an account and email monitoring is active, Nexudus will scan that account's inbox every 15 minutes, looking for new messages. If any of the inbox messages comes from someone signed up to your space, it will automatically copy it to the corresponding member account.‌

To view all the sent and received emails of a member

  1. If the side menu is not visible, click .

  2. In the side menu, click Operations, then click Members & Contacts.

  3. Click the name of the member whose message you want to view.

  4. Click the CRM tab, then click Messages

To monitor a member's email account

  1. If the side menu is not visible, click .

  2. In the side menu, click CRM, then click Email accounts.

  3. Click Add email account. A new page is displayed.

  4. Complete the required fields, including incoming and outgoing server settings (see the table below for a description of each field option).

  5. Click Save.

Enter the name that you want to appear in the From: field on an email sent from the Nexudus email account

Location

If you manage more than one space from your Nexudus account, select from the drop-down list the location of the space that is going to use the email account

Email address

Enter the email address you want to monitor

Active

Enable this option to make the email account monitoring active

Notification email address

Enter a different email address if you prefer to reply from that email address every time a new message is received

Send notifications

Enable this option if you want to receive a notification every time this account receives a new message from a person signed up to your space

Incoming server (Add incoming server details)

Enter the server settings for your email provider. A list of common email provider server settings is shown in the table below. Select a message deletion option.

Outgoing server (Add outgoing server details)

Enter the server settings for your email provider. A list of common email provider server settings is shown in the table below. If required, enter a Reply to email address

To delete messages

  1. If the side menu is not visible, click .

  2. In the side menu, click Operations, then click Members & Contacts.

  3. Click the name of the member whose message you want to delete.

  4. Click the CRM tab, then click Messages.

  5. At the end of the message you want to delete, click. A pop-out menu is displayed.

  6. Click Delete.
